Legal Secretary - Construction

Job Description

AJ Chambers are seeking an experienced and highly organised Legal Secretary to provide dedicated secretarial and administrative support to a group of Senior Associates and Associates within a Top West End Law Firm. This is a central support role requiring excellent organisational, communication, and prioritisation skills, alongside the ability to manage multiple competing demands and deadlines within a fast-paced legal environment.


The successful candidate will act as a key point of contact both internally and externally, working closely with Executive Assistants and wider business support teams to ensure the smooth running of day-to-day operations.

Reporting to the Secretarial Team Leader, you will be adaptable, proactive, and committed to delivering a high standard of service. Flexibility around working hours may be required to meet business needs.


Key Responsibilities

  • Take ownership of and effectively manage workload, collaborating with and delegating tasks to central support teams where appropriate.
  • Proactively monitor and manage team inboxes, particularly during periods of absence, ensuring prompt and accurate responses.
  • Manage calendars and coordinate meetings, events, and associated logistics, including room bookings and schedule updates.
  • Prepare, format, edit, and proofread documentation to a high standard, ensuring compliance with house style and quality requirements.
  • Build strong working relationships with Executive Assistants, central support functions, and fellow Legal Secretaries to provide seamless support and cover during holidays or absences.
  • Respond promptly to requests and manage competing priorities to meet deadlines and stakeholder expectations.
  • Act as a professional first point of contact, handling telephone calls, taking accurate messages, and representing the team effectively both internally and externally.
  • Support financial and compliance processes, including billing activities and proactive cash collection management.
  • Ensure expense claims are completed and submitted accurately and within required timescales.
  • Use initiative to identify, escalate, and resolve issues efficiently.
  • Maintain the highest levels of confidentiality, discretion, and professionalism when dealing with sensitive information, clients, and colleagues.


Skills and Experience

  • Previous experience in a Legal Secretary or professional services secretarial role.
  • Exceptional organisational and time-management skills.
  • Strong written and verbal communication abilities.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple priorities and work effectively under pressure.
  • Proficiency in Microsoft Office applications and document management systems.
  • Strong interpersonal skills and the ability to build effective working relationships.
